Position Overview:
We are seeking a warm, articulate, and detail-oriented Receptionist to be the welcoming face and organizing force of our clinic. You will play a pivotal role in creating an exceptional first impression, ensuring a spotless environment, and supporting our patients’ ongoing wellness plans. This position requires a proactive individual who takes pride in maintaining a pristine clinical space while providing outstanding front-office service.
Key Responsibilities:
1. Patient Welcome & Experience: Greet all patients and visitors with a warm, professional, and calming presence. Manage check-in/check-out processes efficiently. Answer phone calls and emails with excellent courtesy and clarity
2. Clinic Sales & Support: Knowledgeably promote and upsell clinic retail merchandise (e.g., wellness products, supplements) that complement patient care plans. Process retail and service payments accurately.
3. Patient Follow-Up & Scheduling: Proactively manage the appointment book, scheduling, rescheduling, and confirming appointments. Conduct gentle reminder calls/emails for upcoming appointments.
4. Clinic Maintenance & Comprehensive Cleaning Duties: You are directly responsible for maintaining the highest standards of cleanliness throughout the patient and front-office areas. Duties include, but are not limited to:
5. Daily sanitization of all high-touch surfaces in the reception area (front desk, counters, door handles, pens, credit card terminals, chairs).
6. Ensuring the patient waiting area is impeccably tidy: fluffing pillows, arranging chairs, organizing magazines/reading materials, and removing any clutter or trash.
7. Vacuuming and/or mopping floors in the lobby, hallway, and reception area daily.
8. Cleaning and sanitizing patient restrooms, including restocking toilet paper, paper towels, and soap. This is a daily requirement.
9. Wiping down window sills, glass doors, and any display cases.
10. Emptying all trash and recycling bins throughout common areas.
11. Maintaining cleanliness in consultation rooms between patient appointments (e.g., straightening up, ensuring surfaces are clear).
12. Monitoring and maintaining overall clinic tidiness, notifying management of any deeper cleaning or maintenance needs.
13. Administrative Support: Utilize knowledge of medical billing terminology to support billing inquiries and prepare documents. Handle basic administrative tasks such as filing and data entry.
Qualifications:
1. Must be fluent in English with a clear, neutral, and easily understandable accent.
2. Proven experience in a front desk, receptionist, or customer service role.
3. Basic knowledge of medical billing procedures, codes, and terminology.
4. Impeccable personal presentation and a professional, friendly demeanor.
5. A strong commitment to cleanliness and order, with a willingness to perform detailed cleaning tasks as a core part of the role.
6. Excellent phone etiquette, interpersonal skills, and computer proficiency.
Employment & Compensation Details:
1. This is a W2 or 1099 position. For the right candidate (e.g., a student with specific circumstances), exceptions to this structure may be considered.
2. Pay rate is $15.50 per hour.
